Regardless of which engagement a client selects, the first step is the same: we spend time understanding how the relevant work actually happens. Not how it is documented, not how it is intended to happen, but how it unfolds on an ordinary working day.
That observation informs everything that follows — the written note, the specification, the workflow design, and the training delivered to staff. It is also why we are sometimes the ones to suggest that no AI integration is needed. Observation produces honest findings. Honest findings sometimes counsel restraint.
Where an engagement does proceed to a build phase, we follow a written specification process that your team reviews and approves. Nothing is built without that agreement in place.
Observe
Half-day on-site observation of your chosen process. Notes taken. Questions asked of staff doing the work.
Assess in writing
Written observational note describing what was seen and whether AI assistance appears warranted. Delivered and discussed before any further step.
Specify and build (if appropriate)
Written specification reviewed by your team. Build follows. Four-week trial with selected staff before formal handover.
Hand over with documentation
Written handover document. Staff training. Clear description of the workflow's behaviour and its known limitations.
Single Frame: Focused Observation
A focused engagement built around careful observation of one chosen business process. We spend a half day on site, observe the work as it actually happens, and prepare a written observational note describing what we saw, what worked well, and where AI assistance might be considered — if your team is interested.
The note is purposely modest in tone and length, intended to support your own thinking rather than to drive a decision. We are prepared to recommend leaving things alone when that seems the right course.

Triptych Build: Targeted AI Workflow
We build a single AI-supported workflow alongside your team, focused on one well-defined task. Typical scopes include a draft-reply helper for routine correspondence, a structured-extraction helper for incoming documents, or an internal Q&A assistant trained on your existing documentation.
The engagement includes a written specification reviewed before any build work begins, a build phase, a four-week trial with a chosen group of staff, and a written handover document that describes the workflow's behaviour and the conditions under which it should not be relied upon.

Gallery Programme: Multi-Workflow Engagement
A multi-month engagement during which we work alongside your team on a curated set of AI-supported workflows within one or two business functions. The programme is paced to suit your operational rhythm, with fortnightly working sessions, written progress notes, and gradual transfer of operational responsibility to your in-house staff.
Work covers governance considerations, training, vendor coordination, and quarterly written reviews of which capabilities should remain in operation and which should be retired. A closing written report describes the present state of each workflow and offers measured recommendations for the year ahead.

Data Governance
Data access terms documented before any engagement begins. PDPA-aligned throughout. No client data retained beyond the engagement period without written agreement.
Fixed Written Scope
Scope is agreed in writing and held. No informal expansions. Additional work is proposed as a separate engagement, not appended to an existing one.
Staff Training Included
Every build engagement includes training for the staff who will use the workflow. Training covers intended use, practical operation, and known limitations.
Human Oversight Emphasis
Workflows are designed with human review steps where appropriate. We do not build systems that remove human judgement from consequential decisions.
Vendor Neutrality
No commercial arrangements with AI platform vendors. Tool selection is based on fitness for your task, documented and explained in the written specification.
Plain Language Writing
All written outputs are intended to be read and used by operational staff, not only by technical teams. We avoid jargon and write to inform, not to impress.
